Before

Before the build

AGBI needed one structured system to manage academic records, ministry deployment, extension attendance, graduation review, and staff administration instead of relying on scattered manual records and disconnected workflows.

Student, academic, ministry, and graduation records could become separated across manual records or disconnected tracking methods.

Field ministry deployment and extension attendance required clear status tracking after Year 1 training.

Graduation could not be treated as automatic because leadership recommendation and approval were required.

Administrative actions needed better traceability for accountability and review.

Staff access needed to be controlled by role instead of handled informally.

Architecture

How the system was structured

AGBI Portal was structured as a role-aware internal operations system with separate workflow areas for registry, academics, ministry deployment, extension programs, graduation review, auditing, and staff administration. The system centralizes domain rules so academic and ministry records can be managed consistently from one portal.

  • ASP.NET Core Web API backend
  • React/Vite frontend
  • PostgreSQL database
  • Entity-based data model for students, academic years, terms, deployments, field study sessions, extension batches, reviews, users, and audit logs
  • Role-aware access for administrative and registrar workflows
  • Manual graduation review state handling
  • Audit logging for administrative actions
  • Light/dark mode UI support

Decisions

Key decisions

These choices shaped the build around the workflow problem instead of adding features for their own sake.

  • Separated student registry, academic setup, ministry deployment, extension, graduation, and administration into clear workflow areas.
  • Kept graduation review manual to match the institute's leadership approval process.
  • Added audit logs so administrative and registrar actions can be reviewed later.
  • Used role-aware administration to separate normal staff workflows from admin-only controls.
  • Included light/dark mode to support different staff preferences and working conditions.

Outcome

What changed

Built a role-aware internal portal that centralizes student registry, academic setup, ministry workflows, graduation review, audit logs, and staff user management in one operational system.

  • Centralized academic and ministry administration into one internal portal.
  • Made student stage, deployment, extension, and graduation status easier to review.
